How do I build the User file?

Build the user base of your platform

The User file enables you to pre-register the users of your platform and to assign a hierarchical role to each of them.

To build your User file, you need to go through the following steps 👇

1st Step: Download the blank User file

Here is the path to follow to download the user file directly from the platform :

  • Settings (symbolized by a cogwheel at the top right of your screen)

  • Organization Administration

  • Manage Users

  • Click on Upload a file of users

  • At the bottom of the page, you will have a button to "Download a template file"

2nd Step: Fill-in the following columns

  • Email (Mandatory)

  • First name (Mandatory)

  • Last name (Mandatory)

  • Phone (Optional)

  • Job Position (Optional)

  • Identifier (Optional but recommended)

The user "Identifier" is one of the data that enables the platform to ensure results match the right people. Therefore, it must be typed in the user file identical to how it is typed in the result files that will be uploaded in the dashboards and/or challenges.
If you do not use any ID within your organization, you can leave this column blank or delete it.

  • Permission profile (Mandatory)

The permission profiles define the control and access users have to your patform's files, challenges, quizzes, newsfeeds, etc.
Example of permission profiles: Administrator, Manager, Sales rep

  • Role (Optional but recommended)

The role links a user to his or her team. Thus, it must match the "Role" column of your Hierarchy file. (see: How do I build the Hierarchy file?)

  • Birthdate (Optional)

  • Coaching (optional)

You can fill in the coaching column with "yes" or "no" to enable/disable the coaching feature.

🔎 The order of the columns is not important. They are marked by their headers.

⚠️ The file must be in CSV or XLSX format.

Congratulations! Your user file is now ready to be uploaded in your platform. To do this, follow these steps:

  • Click on "Choose a file".

  • Look for the file you have just filled in.

  • The "simulation mode" is checked automatically. We advise you to first import your file in simulation mode. You will then receive a report email and will know if your file contains errors. You can then modify your file and import it again without any consequences on the platform. You can then reload your file by unchecking the simulation mode.

  • Don't forget to click on "Upload file".
